Desirable qualifications:

Gas Safe / f-Gas / Electrical / Plumbing or transferable skills

Previous HVAC experience; Highly experienced individuals also considered

Previous admin experience essential.
As the Admin Assistant you will be responsible for providing admin support to the operational function of the business.
Ability to use management software - needed to extract information from software system to produce estimates and reports to clients. Experience of Word & Excel, etc.
Methodical with an eye for detail.
Good time management skills - required as per our Client’s Contract and Service Level Agreement.
Good interpersonal skills/team player.

The role will also involve some telephone work as part of the Admin team's shared responsibilities.

Multi-Heat Services Ltd are an established family-run Heating, Ventilation & Air-Conditioning firm, serving domestic, commercial and industrial clients throughout the whole of Wales and England. We are currently recruiting for a Crew Scheduler/Administrator role based at our office in Church Village, supporting a total of 15 employees.

You will be joining an established Customer Services team of 6 people. Between them they have over 30 years’ service in our company.

Overview of role

A fantastic opportunity has arisen for an experienced Crew Scheduler/Administrator -

· the Crew Scheduler role is to prepare and coordinate mobile engineering activities and visits ensuring all visits are completed in a timely manner, using our job management software Commusoft, as well as the preparation of Risk Assessments & Method Statements* ;

· whilst the Administrator side of the role entails responsibility for Safe Contractor/ Constructionline/ Accreditation renewals, Responsible Person for staff training & PPE, arranging routine calibrations of specialist equipment, assisting the Purchase Ledger Administrator with monthly Supplier statements, as well as covering some admin tasks in the absence of the Finance/HR Exec.

Main Duties

·Assist the Service Manager in sourcing tasks for the mobile engineers from the open orders in Commusoft, in date/priority order.

·Identify the skill set requirement for each task and allocated accordingly to a member of your engineering team.

·Compile an advance weekly schedule based on skill set and geographical location.

·Liaise with customers to seek approval for visits to proceed on proposed dates & agree working hours.

·Prepare and provide to the client Risk Assessments/Method Statements & permits to work* , in advance of all site visits.

·Co-ordinate parts and materials with internal colleagues and/or suppliers.

·Communicate details of the planned visits to the individual engineers in accordance with agreed advance notification processes to enable them to have a full understanding of what is required of them and relay to them any site/task specific information.

·Responsible Person for: maintaining Safe Contractor and other various Accreditation renewals; arranging the routine calibrations of testing equipment; staff training & e-learning via a portal; ordering and maintaining PPE.

·Assist with monthly Supplier statements, using Xero software - involves liaison with both the Finance Administrator and Purchase Ledger Administrator.

What do you need to apply?

·Previous crew scheduling experience (2 yrs +).

·Good understanding of Microsoft Office or equivalent packages, as well as scheduling and accounting software.

·A Level/GCSE qualifications including Maths, English and Geography to Grade C or above. Health & Safety Certificate* .

·A strong customer service focus, and the ability to build effective working relationships with colleagues and suppliers.

·Excellent attention to detail.

·Ability to work to deadlines and prioritise own workload.

·Good communication skills – written, verbal and listening.

·Good problem solving skills.

·Experience of working in a fast paced, demanding environment.

Multi-Heat Services Ltd has been accepted as an approved member of WaterSafe, the register for qualified, professional plumbers in the UK.

WaterSafe is supported by the water industry regulators and all UK water companies, including Dŵr Cymru Welsh Water and aims to raise the standards of plumbing at home and at work to keep tap water healthy.

Mr Gareth Hill, Managing Director said : “We are delighted to have been accepted as members of WaterSafe. It means our customers within the UK know they are employing a plumber who has got the right qualifications and experience to do the job, as well as a customer complaint scheme and proper insurance cover.”

“The knowledge to work safely with plumbing takes years to learn and plumbers who aren’t properly trained can cause all sorts of problems. In the worst case this can even be a risk to tap water - making it unsafe to drink. STEP 1 – NOTIFY THE NATIONAL GAS EMERGENCY SERVICE IMMEDIATELY

Call Freephone 0800 111 999. The line is open 24 hours a day, 365 days a year and they will send out an engineer to keep you and your property safe.

STEP 2 – TURN OFF ALL YOUR GAS APPLIANCES

And, if possible, switch off the gas at the meter (unless the meter is in the cellar or basement, in which case don’t go in).

STEP 3 – OPEN WINDOWS AND DOORS

Open all your windows and doors

STEP 4 – DO NOT USE ANY ELECTRICAL APPLIANCES

This includes switching your lights on or off

STEP 5 – DO NOT SMOKE

Do not smoke or use naked flames

STEP 6 – IF THERE’S A SMELL OF GAS IN THE CELLAR OR BASEMENT

Please wait outside or with a neighbour until given the all clear to return by the engineer

As we are going into local lockdown here in Rhondda Cynon Taf, we thought it might be worth letting you know that we are continuing to operate across all our domestic, commercial and industrial sites whilst following the appropriate advice and guidance (ie. 2m distancing, use of PPE, etc.).

Whilst we are all focussing on keeping ourselves safe during this time, don't forget to keep your heating systems and appliances safe too!

We are taking part in Gas Safety Week (14th-20th September) and would like to share some top tips to help keep you and your community safe:

Get your gas appliances checked annually by a Gas safe registered and qualified engineer.
Make sure family, friends and neighbours get their appliances checked as well.
Help protect your loved ones by ensuring they have their gas appliances checked annually and install an audible/visual carbon monoxide (CO) alarm.
Stay safe in rented properties - Remember to ensure your landlord provides you with an annual gas safety record and be sure to check your engineer’s ID card.
Did you know, by law, in the UK, Isle of Man and Guernsey, anyone who works on your gas appliances must be on the Gas Safe Register. If you suspect someone is carrying out gas work illegally, you can report them at GasSafeRegister.co.uk or call 0800 408 5500 .
When doing DIY, it’s tempting to extend your skill set – but don’t ever attempt gas work. Always leave it to a registered, qualified engineer.
